Construction documents checklist (VIC)
The documents your building surveyor typically needs to issue a building permit, plus the records that make inspections and final sign-off easier.
General information only. Your exact requirements depend on project type, site conditions, and your surveyor/council.
In 30 seconds
- Construction documents are the “source of truth” for what’s being built and what will be inspected.
- Your building surveyor uses them to assess compliance and issue the building permit.
- If you change the design during the build, you may need updated documents and (sometimes) permit changes.
- Good documents + good records = faster inspections and fewer “prove it” delays later.
What “construction documents” means
On this site, “construction documents” means the drawings, specs, and certifications that define what is being built, and what evidence will be needed at inspection stages.
Construction documents checklist (VIC)
Treat this as a practical checklist. Your surveyor may ask for more (or less) depending on your project.
- Architectural drawings (plans, elevations, sections)
- Specifications / schedules (materials, finishes, components)
- Site plan and key dimensions/setbacks as applicable
- Stormwater/drainage concepts where relevant
- Structural engineering (when required)
- Soil report / footing design inputs (where required)
- Truss/shop drawings (if applicable)
- Any required compliance certificates tied to design
- Planning permit (if required) + all conditions
- Evidence you’ve satisfied pre-building conditions (if any)
- Any authority approvals relevant to the site (project-dependent)
- A simple written scope summary (what’s included/excluded)
- Selections list (fixtures, finishes, key products)
- Notes on staging (if the build is staged)
- A variation log template ready for changes
Inspection evidence: what to collect during the build
Construction documents get you to the permit. Evidence gets you through inspections and final approval. As an owner-builder, assume you’ll need to prove compliance later.
- Trade compliance certificates (electrical, plumbing, waterproofing, etc.)
- Photos of hidden work before it’s covered (framing, waterproofing, reinforcement)
- Delivery dockets/product data for key compliance items (project-dependent)
- Inspection booking records and outcomes
- Updated drawings/specs if the scope changes
Where construction documents fit in the VIC process
- Confirm whether Owner-Builder Certificate of Consent is required (if applicable)
- Confirm planning permit requirements (if applicable)
- Prepare construction documents
- Appoint a building surveyor and apply for a building permit
- Build → inspections → evidence → final approval
