Record-keeping for owner-builders (NSW)

Simple, practical record-keeping that supports inspections, insurance, completion approval, and selling later — without turning your project into paperwork hell.

Note: This is general information only. Your certifier may require additional records.

In 30 seconds

  • Good records are how you prove compliance — not how well the job was built.
  • Most delays happen because evidence was never collected, not because work was wrong.
  • If it’s not written down or saved, it effectively doesn’t exist.
  • A simple folder structure + variation log solves most problems.

Why record-keeping matters

As an owner-builder, you are treated as the builder. That means you’re expected to produce evidence when it’s requested — sometimes months later.

  • Certifiers rely on records to issue inspection sign-offs and final approval
  • Insurers rely on records when assessing claims
  • Missing records can delay occupation or completion certificates
  • Selling later can trigger document requests you didn’t expect
Common mistake
Assuming “the certifier saw it on the day” is enough. Inspections are snapshots — records are the proof trail.

What records you should keep

Approvals & plans
  • DA / CDC approvals and conditions
  • Approved construction drawings
  • Updated plans if changes occur
Inspections & compliance
  • Inspection booking records
  • Inspection outcomes / sign-offs
  • Engineer certificates (if required)
Trade evidence
  • Trade licences (where required)
  • Compliance certificates (electrical, plumbing, waterproofing)
  • Invoices/receipts for major works
Photos & site records
  • Hidden work (before it’s covered)
  • Key stages (footings, framing, waterproofing)
  • Date-stamped photos where possible

A simple record-keeping system that works

You don’t need software or spreadsheets — just consistency.

Keep everything digital if possible, backed up somewhere safe. Share relevant folders with your certifier when requested.

Variations: the record that saves projects

Owner-builders almost always change something. The problem isn’t the change — it’s not recording it.

  • What changed?
  • When?
  • Why?
  • Who approved it?
  • What document was updated?

If you only keep one record, keep a variation log.
