Record-Keeping (VIC Owner-Builder)
Most projects don’t stall because the work was done “wrong” — they stall because the evidence was never collected. Good records make inspections, approvals, and insurance much easier.
General information only. Requirements can vary by project type, council, and building surveyor.
In 30 seconds
- Your building surveyor and inspections rely on what you can prove, not just what you say.
- Keep a simple system from day one: approvals, plans, certificates, photos, invoices, and variations.
- Take photos of “hidden work” before it’s covered.
- Save everything in one place you can access quickly (cloud folder + a simple index).
What records you should keep (VIC owner-builder)
Think of your records as your “compliance evidence pack”. You’ll use it for inspection stages, final approval, and (if needed) insurance claims or future questions.
- Planning permit (if required) + stamped plans/conditions
- Building permit + endorsed drawings/specifications
- Engineering computations/certifications (as applicable)
- Energy / compliance reports (as applicable)
- Any written directions/approvals for changes
- Photos at each stage (especially before covering work)
- Inspection bookings and outcomes
- Trade invoices and scope confirmations
- Delivery dockets for major materials
- Variation log (even if informal)
Compliance certificates (don’t chase these at the end)
Your building surveyor will often require evidence from licensed trades and specialists. If you wait until the last week, you can end up stuck.
- Electrical / plumbing compliance certificates (where applicable)
- Waterproofing evidence (photos + installer details, and any certificates if supplied)
- Engineering certificates / inspections (as applicable)
- Termite management evidence (as applicable)
- Any “as-built” updates if the approved plans changed
A simple record-keeping system that works
Keep it boring and consistent. A good minimum setup:
- 00_Admin (contacts, notes, key dates)
- 01_Approvals (planning permit, building permit, endorsed plans)
- 02_Inspections (bookings, outcomes, reports)
- 03_Certificates (trade compliance, engineering, waterproofing evidence)
- 04_Quotes_Invoices (trade scopes, invoices, receipts)
- 05_Photos (by date or by stage)
- 06_Variations (change log + approvals)
- 07_Insurance (policies, disclosures, correspondence)
Keep a one-page “index” note (even a text file) listing what’s in each folder and what’s missing. That becomes your quick checklist when someone asks for evidence.
Where record-keeping fits in the VIC process
Record-keeping is a Step 6 habit — it supports inspections now and final approval later.
